Terms of Service

ElloVet provides a cloud-based veterinary practice management platform. Features include appointment scheduling, patient medical records, laboratory management, billing and invoicing, inventory management, staff management, hospitalization tracking, a pet-owner portal, and AI-assisted clinical documentation. Features available to a specific clinic depend on the subscription plan selected.

We reserve the right to add, modify, or discontinue features at any time. We will give reasonable notice of material changes that reduce functionality.

You must provide accurate and complete information when registering. You are responsible for keeping your login credentials secure and for all activity that occurs under your account.

Clinic administrators are responsible for the accounts they create for their staff. Each staff account must correspond to a real person at the clinic. Sharing login credentials between multiple people is not permitted.

You must notify us immediately if you suspect unauthorised access to your account by emailing legal@ellovet.com.

Clinics are responsible for ensuring that their use of the platform complies with all applicable laws and regulations, including those governing veterinary practice, patient records, data protection, and financial record-keeping in their jurisdiction.

Clinics are the data controller for the patient and pet-owner data they enter into the platform. They are responsible for obtaining any necessary consent from pet owners for data collection and processing, and for informing owners of how their data is used.

Clinics must not enter data that they do not have the legal right to process, and must maintain accurate records. ElloVet is not responsible for errors or omissions in data entered by clinic staff.

You agree not to:

• Use the Service for any unlawful purpose or in violation of any regulation.
• Attempt to gain unauthorised access to any part of the Service or another clinic's data.
• Reverse-engineer, decompile, or attempt to extract the source code of the Service.
• Use the Service to store or transmit malicious code, or to interfere with the integrity or performance of the Service.
• Resell, sublicense, or otherwise make the Service available to third parties without our written consent.
• Use automated tools (scrapers, bots) to access the Service in a way that places unreasonable load on our infrastructure.

We may suspend or terminate accounts that violate these rules without prior notice.

Access to the clinic management features requires a paid subscription. Subscription fees, billing cycles, and included features are set out on the Pricing page and in the order confirmation sent at sign-up.

Subscriptions renew automatically at the end of each billing period. You may cancel at any time; cancellation takes effect at the end of the current paid period, and no refunds are issued for unused time within a billing period.

If a payment fails, we will notify you and give you a reasonable period to update your payment details. If payment is not received, we may suspend access to the Service until the outstanding amount is settled.

We reserve the right to change subscription pricing. We will give at least 30 days' notice of any price increase, and the new price will apply from the next renewal date after the notice period.

You own the data you enter into the platform. We do not claim any ownership over your patient records, clinical data, or business information.

You may export your data at any time from within the platform. Upon termination of your subscription, you will have 90 days to request a data export before your data is deleted from our systems, subject to any statutory retention obligations.

ElloVet and its licensors own all rights in the platform, including its software, design, trademarks, and documentation. These Terms do not grant you any rights to use our intellectual property beyond what is necessary to use the Service.

Any feedback or suggestions you provide about the Service may be used by us to improve the platform without any obligation to you.

We aim to provide a reliable service but do not guarantee 100% uptime. We may carry out scheduled maintenance that temporarily affects availability; we will give advance notice where possible.

Support is available by email and in-app. Response times and support channels depend on your subscription plan.

To the maximum extent permitted by applicable law, ElloVet is not liable for any indirect, incidental, special, consequential, or punitive damages, including loss of revenue, loss of data, or loss of goodwill, arising from your use of or inability to use the Service.

Our total aggregate liability to you for any claims arising from these Terms or the Service is limited to the amount you paid to us in the 12 months preceding the event giving rise to the claim.

Nothing in these Terms limits liability that cannot be excluded or limited under applicable law (including liability for fraud or personal injury caused by our negligence).

You may stop using the Service and close your account at any time by contacting us or using the account closure option in your settings.

We may suspend or terminate your access if you materially breach these Terms, fail to pay subscription fees after a grace period, or if we are required to do so by law. We will give notice where we are legally permitted to do so.

Upon termination, your right to access the Service ends. Sections of these Terms that by their nature should survive termination (including data, intellectual property, and limitation of liability clauses) will continue to apply.

We may update these Terms from time to time. We will notify clinic administrators of material changes by email at least 14 days before they take effect. Continued use of the Service after the effective date of updated Terms constitutes acceptance. If you do not agree to the updated Terms, you must stop using the Service and may request closure of your account.

These Terms are governed by and construed in accordance with the laws applicable in the jurisdiction where ElloVet is incorporated. Any disputes arising from these Terms or the Service will be subject to the exclusive jurisdiction of the courts in that jurisdiction, unless local mandatory law requires otherwise.
